Specialist – Leave and Crew Records

In a nutshell

As a Specialist you’ll be responsible for accurate and timely allocation and reallocation of both pilot and crew paid and unpaid leave elements as well as My Day/CDO requests.

You will use an analytical approach ensuring leave quotas, leave consoles, leave allocations and reallocations are managed in a timely manner, whilst delivering against contractual and union agreements.

Responsibility for ensuring CMS is managed and maintained effectively to support all leave elements and My Day/CDO processing. You will ensure the Leave and Crew Records team have clear LOI’s and training to aid the accurate and consistent delivery both internally and to the pilots and cabin crew.


Day to day

Leave Processing

• The timely, accurate management of leave quotas and leave entitlements in conjunction with Establishment Planning methodology.

• Ensuring leave adjustments are made to support contract changes, leavers, returners etc and that the team has the data to amend through the system as required.

• The opening of leave periods and allocation of leave through the CMS automation ensuring all required checks are complete prior to publication and that leave is allocated according to the Union agreements.

• Development of KPI’s support by statistical analysis on all elements of leave and CDO/My day allocations.

• Development and communication of alternative leave solutions that support establishment levels but also deliver improvements and engagement for pilots and crew.

Leave Calculations/Adjustments

• Development of tools to support fast calculations of leave entitlements based on contract or employment changes

• Training of the Leave and Crew Records team to utilise tools available to manage leave changes in a timely accurate fashion

• Ability to use the tool to advise the People team, Crew Management or Flight Crew Management of leave entitlements as required.

• Development and introduction of a leave tracking tool to ensure regulatory leave compliance.

Other leave assignments

• Development and implementation of other leave requirements that deliver contractually and are aligned or supported by establishment planning assumptions such a parental leave


About you

Do you have an analytical mindset and an ability to communicate data easily, ideally with a crew logistics background? If this sounds like you and you have the below skills and capabilities, then we’d love to hear from you!

• Strong analytical skills (Excel), with the ability to present data, and great attention to detail

• Problem solving

• Good written and verbal communication skills

• Work independently & make informed decisions

• Strong organisational planning skills

• Ability to recommend process redesign to deliver accuracy and efficiency

• Numerical qualification highly desirable

• Able to work under pressure to tight timescales.

• Previous experience within Crew Logistics an advantage

• Process and project mapping an advantage
